Case Study, West Wickham BR4 Kent:
Seamless Windows 11 Upgrade and Email Migration for a West Wickham Opticians
Client Background
Our client, a long-established independent opticians based in West Wickham, Kent, has relied on our IT support services since 2012. Over more than a decade, we developed a deep understanding of their operational needs, specialist ophthalmic equipment, and the day-to-day workflow of their busy practice. This long-standing relationship placed us in a unique position to deliver a major infrastructure upgrade with confidence, precision, and minimal disruption.
In early 2025, we approached the practice with the need to modernise their IT systems. Their existing Windows 10 PCs were approaching end of support, and they needed improved performance, enhanced security, and the ability to support new productivity tools. At the same time, they were using an aging hosted Exchange system for email, which was becoming increasingly unreliable and lacked the modern security and accessibility features they required, particularly for the company director, who needed more flexible remote access.
To meet these needs, we designed and delivered a full systems upgrade from Windows 10 to Windows 11 Professional, alongside a complete migration of their email services to Microsoft 365.
Challenges and Considerations
Upgrading systems within an optician’s practice comes with unique complexity. Beyond typical office software, the environment relies heavily on highly specialised test equipment, imaging devices, and diagnostic instruments. Many of these systems use dedicated software that is often closely tied to specific Windows versions or hardware drivers.
Before any upgrade could be considered, we conducted a full compatibility assessment. Because we had been supporting the practice since 2012, we already had detailed knowledge of their equipment, historical configurations, and vendor requirements. This existing insight significantly expedited the process and reduced the risk of unexpected compatibility issues.
Another key challenge was operational continuity. The practice operates during standard office hours and serves a steady flow of patients throughout the day. Tills and POS systems are critical to daily operations, and downtime needed to be kept to an absolute minimum. The client requested that all work be completed during office hours, without impacting customer service too much.
Finally, the email migration added an additional layer of complexity. The legacy hosted Exchange system had limited management tools and inconsistent performance. We needed to ensure a smooth transition to Microsoft 365 with no loss of historical emails and no disruption to staff access.
Planning and Preparation
We began with a phased planning process:
- Full Systems Audit: Although familiar with the environment, we carried out an updated audit of all PCs, test equipment, software versions, driver dependencies, and network infrastructure.
- Vendor Consultations: For each piece of specialist ophthalmic equipment, we reviewed technical specifications and, where necessary, contacted manufacturers directly to verify Windows 11 compatibility and obtain updated drivers.
- Upgrade Blueprint: We produced a detailed upgrade plan outlining machine-by-machine procedures, estimated downtime, and sequencing to ensure the POS systems remained offline for only the shortest possible period.
- Email Migration Strategy: We designed a staged email migration approach that allowed us to synchronise data in the background before switching mail flow, ensuring almost zero downtime for the practice.
Because of our long-term relationship with the client, these steps were completed efficiently with a high degree of confidence.
Implementation
1. Windows 11 Hardware and System Upgrade
The upgrade works were carried out entirely during office hours, as requested. To minimise disruption:
- We upgraded systems in a rolling sequence, ensuring that at least one till and one reception PC remained operational at all times.
- Patient-facing equipment and diagnostic instruments were migrated during quieter periods of the day to reduce any impact on appointments.
- Staff were kept informed throughout, and PCs were handed back for use as soon as upgrades were completed and verified.
Each machine was fully tested following installation, with particular attention given to specialised ophthalmic devices. All confirmed compatibility as expected, thanks to our preparation.
2. POS and Tills Management
The POS systems posed the greatest operational sensitivity. To keep downtime under the “short period” limit, we pre-staged updates and configurations wherever possible. Final switchover steps were then completed in tightly controlled windows, allowing the till systems to be offline for only a brief time.
3. Email Migration to Microsoft 365
With background synchronisation completed in advance, we executed the final cutover to Microsoft 365 smoothly and without data loss. Staff mailboxes were reconnected to Outlook and mobile devices, and new security features, including MFA and advanced spam filtering, were enabled immediately.
The company director particularly benefited from the new setup. With Microsoft 365, they gained easy and secure access to email and documents from any location, significantly improving their productivity and flexibility.
Outcome
The entire upgrade was completed successfully within the scheduled timeframe and without any notable disruption to patient services. All Windows 11 systems performed smoothly, specialist equipment operated as expected, and staff experienced a noticeable improvement in speed and reliability.
The migration to Microsoft 365 delivered immediate benefits:
- Improved email reliability and performance
- Enhanced security through modern authentication
- More straightforward remote access for leadership staff
- Better integration with Office applications and cloud services
The practice now has a modern, secure, and future-proof IT environment that supports their operations and positions them well for future growth.
Conclusion
This project highlights the value of a trusted, long-term IT partnership. Our decade-long relationship with the West Wickham opticians enabled us to plan and execute a complex systems upgrade with minimal risk and minimal disruption. By combining careful preparation, deep understanding of the client’s workflows, and professional execution, we delivered a seamless transition to Windows 11 and Microsoft 365 that strengthened the practice’s operational capabilities for years to come.
