How to get onboard and have your IT managed properly?

Step 1

Consultation

Initially we just need to find out a little about your business and IT infrastructure. Don’t worry, we won’t be asking lots of in-depth technical questions. We just need to find out the basics.

Step 2

Audit

The next step following your IT Consultation is for us to carry out a non intrusive audit of your computer systems and get a good understanding of how your business works.

We’ll arrange a meeting at your premises which usually takes an hour or two depending on the size of your business and the number of challenges that you’re facing.

It’s good to prepare by having a list of all issues that you’ve experienced over the past year and everything that’s either of concern at the moment or changes that you know need putting in place.

We have a great understanding of the role that IT plays within most businesses and how to fine tune IT resources to get the best results from your investment. We don’t turn up looking for what we can sell you. We focus on making the best of what you already have, and advising of what changes or upgrades may benefit your business.

Next is a visual audit of all your IT equipment and we may start to ask a few technical questions at this stage about data backup and cyber security etc.

Step 3

Proposal

The next stage is down to us, we go away and work out the gap between where you are now and where you need to be.

If you’ve had another IT Support company looking after the business or had someone in-house taking care of IT Support, the gap probably won’t be too big.

Either way, we’ll work out what needs doing and get back to you with a proposal within a few days.

Now we understand that many business owners don’t want to read through a report and an IT proposal of 20 pages or more, while others will want to read and digest and understand every last word. Whatever your preference, you need a fair understanding of your IT infrastructure and what’s going on.

Step 4

Meeting

Our second meeting will usually take place within a week of the first meeting.

We’re now ready to go over our assessment of the IT resources within your business and provide a proposal of how we can help your business going forward and what recommendations we have. And what’s included in your monthly IT Support plan.

Any company that we provide our Managed IT Services to will require our core level of services at least.

This includes:

  • Managed Anti-Virus
  • Managed Data Backup
  • Email Security & Email backup
  • Computer (& server) system monitoring
  • System, Security & software updates
  • Security Best Practices

Plus if your business handles more sensitive information there will be optional measures that we can discuss and put in place.

Cyber security has been a huge focus point in the past few years and a target business could be destroyed with one single cyber criminal hit. Every business must have an adequate level of cyber security in place. But we do have a realistic view that these measures need to be affordable. Our cyber security monitoring and alerting, provides outstanding value for money. We think you’ll be impressed!

Your Proposal for our Managed IT Services will include unlimited telephone and remote support.

There’s usually a fair amount of work involved to align new clients with our best practices. Most Managed IT Service providers will charge a good few hours or even days for this work. We don’t charge for this, once you’re our client, it’s all included in your monthly support plan.

Step 5

Onboarding

Good news. You’ve accepted our IT Support Proposal.

If we’re taking over from another IT Support provider, we simply need you to email them and ask them to give us any system information that we require. They would normally have all your IT information documented anyway so this should be a simple process.

If you haven’t previously had an IT Support company looking after your systems, it’s not an issue, we’ll pop in and find all the info that we need.

Onboarding is usually of absolute minimal disruption to you or your staff. All our work is completed quietly in the background.

This includes connecting all your computers/servers/networking devices to our management systems which gives us a 360 degree inside out view of your entire network. Now we can start running checks, fine tuning and ticking boxes.

Additional onboarding including email security, data backup and disaster recovery, best practices monitoring and alerting, updating, auditing and documenting will take a couple of weeks to complete. Any priorities like data backup will be implemented immediately.

It will all be taken care of – you’re in safe hands.

Step 6

Review

After 6 to 8 weeks we’ll have completed all our onboarding work, found and resolved any IT niggles and addressed any additional work that may be required.

We will also be in a good position to report on the state of your IT infrastructure and systems including data backup, disaster recovery & security.

We’ll put forward any suggestions or recommendations for your IT systems or processes.

Of course you’ll always have the final say on any suggestions or recommendations that we offer.

We recommend an IT review be carried out every 12 months or sooner if required.
